Who we are

Swedish Actors is run by and Humans AB (org. no. 556716-1525), Stockholm, Sweden. We are the controller of the personal data described here. Questions, or requests about your data: hi@swedishactors.se.

Visitors to the website

Contact forms. When you contact us we keep your name, e-mail address and message to answer you, and delete them when the conversation is over unless we need to stay in touch. Legal basis: our legitimate interest in answering (GDPR art. 6(1)(f)).

Analytics. With your consent we use Google Analytics 4 to see how the site is used. It sets cookies with a random identifier; it does not store your IP address. Google may process the data in the United States, under the EU–US Data Privacy Framework and standard contractual clauses. Without your consent we do not track your visit. You can change your choice at any time in the cookie settings. Pages that contain a personal link (for example an actor's profile-update page) are never sent to Analytics.

Site statistics without cookies. Our hosting provider, Vercel, counts page views and measures how fast pages load. It sets no cookies and does not identify you.

AI casting search. What you type into the casting search is sent to our search service, and to OpenAI and Anthropic, to find matching actors. We keep what was searched for, and which actors came up, for 12 months, to see what casting directors look for. We don't keep who searched: no IP address or other identifier. Searches can also remain in server logs and caches for a short time. Don't put personal details about anyone in a search.

Embedded videos. Showreels from YouTube load in its privacy-enhanced mode (youtube-nocookie.com), which sets no tracking cookies when the page loads. Vimeo videos play with "do not track" turned on, unless you have accepted analytics cookies: then Vimeo counts the view and sets its own cookies (see Cookies).

Page addresses. Like any website host, Vercel keeps the address of each page you open in its request logs for a short time. That includes what you typed into the casting search and, for a shared selection, the project name and notes in the link. Our analytics only ever receive the page itself.

Cookies

We use only these cookies:

  • cookie_consent, cookie_consent_analytics: remember your cookie choice. Necessary. 1 year.
  • _ga, _ga_*: Google Analytics, only if you accept analytics cookies. 2 years.
  • player, vuid, COOKIE_ID_PICOX_ID: Vimeo (vimeo.com), its view statistics and player settings, only if you accept analytics cookies and one of our videos plays. Up to 2 years.
  • seact_update_session: keeps an actor signed in while updating their profile through a personal link. Necessary, only on that page. 2 hours.
  • seact_admin_session and preview cookies: our own staff login and previews of unpublished profiles. Necessary, used only by Swedish Actors staff.

Your shortlist (the actors you star) is kept in your own browser's local storage, not by us.

You can change your choice at any time with "Cookie settings" at the bottom of every page, or by deleting cookies in your browser.

Actors we represent

What we keep.

  • Your public profile, which we publish on swedishactors.se and share with casting professionals: name, photos (with the photographer's name), CV and credits, physical description, age and playing age (unless you have asked us to hide your age), languages, skills, location, showreels, and the casting contact you have agreed to publish.
  • Information we keep internally, never published: which passports you hold, other agencies or management that represent you, and our direct contact details for you.
  • Playable appearance (optional). If you choose to tell us which looks you can be cast as, we use it only to match you to casting requests that ask for a particular look. It is never published and never shown to anyone outside Swedish Actors. Because it can reveal ethnic origin, we only keep it with your explicit consent, and we record when you gave it. You can withdraw that consent at any time on your update page, or by telling us; we then delete it. If you separately agree, we may also add it to your profiles on Filmmakers and eTalenta, where casting directors filter on it.

Why, and on what basis. To represent you and market you to the industry, to match you to casting requests, and to contact you (our agreement with you, art. 6(1)(b)). Playable appearance: your explicit consent (art. 9(2)(a)).

Updating your profile. We send you a personal link that works for seven days. Changes that show on the site are checked by us before they are published; passports and playable appearance take effect at once.

Matching software. We use our own software, including AI services, to suggest which actors may fit a casting request. A person at Swedish Actors always decides who is put forward; no decision with legal or similarly significant effects is made automatically.

How long. Your public profile is removed within seven days after we stop representing you, and your internal information, playable appearance and the record of your consents within 30 days. Credits from public sources (such as IMDb) remain in our records of who worked on which production. Booking and fee records are kept for seven years, as Swedish bookkeeping law requires.

Casting directors and other industry professionals

We keep names, roles, professional contact details and credits of people who work in film, TV and theatre, and our correspondence with them. Most of it comes from public sources: production databases (such as IMDb and TMDB), the Swedish Film Institute's published grants, theatre databases, trade press and production announcements. We use it to know who works on which productions and to contact you about our actors. Legal basis: our legitimate interest in running a talent agency (art. 6(1)(f)). You can object at any time, and we will stop using your data for this.

People who apply for representation

We use what you send us (your message, CV, photos and links) to assess your application and reply to you. We read every application ourselves; AI tools help us sort them, but a person decides. We may also ask people in the industry you have worked with about you. Legal basis: steps you ask for before a possible agreement (art. 6(1)(b)), and for asking others about you, our legitimate interest in choosing whom we represent (art. 6(1)(f)). We keep applications for 12 months and then delete them, unless you become one of our actors.

Newsletter

If you receive our newsletter we keep your name, e-mail address and language. Every newsletter has an unsubscribe link; when you unsubscribe we keep only a note that you did, so that you are not added again. We do not track whether you open or click our newsletters. Legal basis: our legitimate interest in keeping in touch with the industry (art. 6(1)(f)).

Reports of harassment or misconduct

If you report harassment, discrimination or other misconduct to us, we handle the report in confidence. Only the people who need to act on it see it, it is kept apart from our casting and profile systems, and we delete it 12 months after the matter is closed, unless it is needed to establish or defend a legal claim. Our automatic e-mail sorting sees a written report when it arrives; we delete that copy when we take the report out of the inbox. A report can contain sensitive information; we use it only to handle the matter and protect the people involved. Legal basis: our legitimate interest in a safe working environment for the people we represent (art. 6(1)(f)), and for sensitive information, establishing or defending legal claims (art. 9(2)(f)) or your consent.

Who processes data for us, and where

We use these service providers. Each works under a data processing agreement with us, except where noted.

  • Sanity (our content system): EU (Belgium)
  • Vercel (website hosting): servers in Stockholm
  • Hetzner (our database servers): Germany and Finland
  • Backblaze (encrypted backups): the Netherlands
  • Microsoft 365 (e-mail): EU
  • Resend (sending e-mail): United States
  • OpenAI (text search across actor profiles and the casting search; never playable appearance): United States
  • Anthropic (sorting incoming e-mail and applications, reading casting requests, the casting search): United States
  • Google Analytics (website statistics, only with your consent): United States

We also use Anthropic's Claude assistant, on a plan without a data processing agreement, to work with our own records, such as applications and industry contacts. There Anthropic handles the data under its own terms. We have turned off the use of our conversations to train its models.

Transfers to the United States are protected by the European Commission's standard contractual clauses and, where the provider is certified, the EU–US Data Privacy Framework. We also send short internal notifications (names only, never playable appearance or contact details) to our own Telegram account.

Security

Access is limited to the people and systems that need it. Information that must not be public (passports, playable appearance, internal contact details) is kept separate from the public profiles. Backups are encrypted and are kept for up to 12 months, so deleted data can remain in a backup for that long before it is overwritten.

Your rights

You can ask for a copy of the data we hold about you, have it corrected or deleted, restrict or object to how we use it, take it with you, and withdraw a consent at any time. Write to hi@swedishactors.se. You can also complain to the Swedish Authority for Privacy Protection (IMY), imy.se.

Changes

We update this policy when what we do changes, and publish the new version here with its date.
